Privacy Policy
Version 1.4 · Last updated October 14, 2026
This policy explains what personal information WavePoint LLC collects, why we collect it, who processes it on our behalf, and what you can ask us to do with it. It covers both our website at wavepoint.ai and the WavePoint Club Assistant, the app and optional text message program we operate for participating private clubs.
Mobile information and text messaging consent
We do not share, sell, or provide your mobile phone number or text messaging consent data to third parties or affiliates for marketing or promotional purposes. Text messaging originator opt-in data and consent are not shared with any third parties. Our messaging provider, Twilio, processes mobile numbers on our behalf only to deliver the messages you agreed to receive.
Who we are
WavePoint LLC, trading as WavePoint AI, is an AI advisory and digital transformation firm. For any question about this policy, or to make a request about your data, email notify@wavepoint.ai. We are the data controller for information collected through our website. For information collected through the WavePoint Club Assistant, we act as a processor on behalf of the club that employs you.
What we collect on this website
We collect only what a form asks for. We do not buy personal information, and we do not require an account to read anything here.
- The WaveLength newsletter. Your email address, nothing else.
- Advisory and contact requests. Your name, company, email address, and the message you write.
- AI Readiness Assessment. Your email address, your first name if you choose to give it, your answers to the seven questions, and the readiness score and tier we calculate from them.
- Analytics. Pages viewed, approximate location, browser and device type, and how you arrived at the site.
Information we receive from others
When you submit an email address through the assessment, we look that address up with Apollo, our customer relationship platform, which may return your job title, employer, industry, company size, and public LinkedIn profile. We use this to understand who is asking for help and to reply sensibly. If you would rather we did not hold it, email us and we will delete the record. Apollo is used only for website contacts. It never receives mobile numbers, text messaging consent, or any Club Assistant information.
Cookies and analytics
We use Google Analytics 4 to count visits and see which articles people read. It sets cookies in your browser to recognize a returning visit. We do not run advertising cookies, we do not sell analytics data, and we do not use it to build a profile of you as an individual. You can block these cookies in your browser settings, or install the Google Analytics opt-out browser add-on, and the site will work normally.
What we collect in the WavePoint Club Assistant
The Club Assistant is an app for employees of participating private clubs, covering lessons, quizzes, a review queue, and questions you can put to Roy, the club assistant. Text messaging is a separate, optional part of the program and carries only the pre-shift briefs and the one-time opt-in confirmation described below. If your employer enrolls you, we process:
- your name, role, mobile number, and preferred language
- your training progress and quiz results, collected in the app (never by text message)
- the questions you ask Roy, the club assistant, in the app, and Roy's replies
- your email address, if you choose to give one so shift briefs can reach you by email when you are not getting texts
All of it is processed on behalf of the club that employs you. The club decides what the program covers and who is enrolled. Your club can see your training progress and quiz results. If you want your information corrected or removed, you can ask us directly or ask your club.
Text messaging (SMS)
Text messaging is optional. If you opt in to text messages from WavePoint on behalf of your club, we collect your mobile number, the date and time you gave consent, and any STOP, START or HELP replies. We use them only to send pre-shift briefs (the specials, unavailable menu items and events for your shift, with a link to the full brief) and a one-time opt-in confirmation. Message frequency: up to 2 messages per day. Message and data rates may apply. Reply HELP for help or STOP to opt out at any time. Consent to receive texts is not required to use the app. We do not share, sell, or provide your mobile phone number or messaging consent data to third parties or affiliates for marketing or promotional purposes.
The full terms of the text message program are on our SMS terms page.
How we use what we collect
- to send you the newsletter or assessment results you asked for
- to reply to your enquiry and follow up on it
- to deliver the Club Assistant program your employer has set up
- to understand which of our writing is useful and improve the site
- to meet our legal and tax obligations
We never sell personal information, and we do not share it with third parties or affiliates for their marketing or promotional purposes.
Who processes it for us
We keep the list of providers short on purpose. Each one processes data only to provide its service to us.
- Vercel hosts the website and runs its server code.
- Resend delivers our email.
- Apollo holds contact records for website enquiries and sends our own follow-up email. It never receives Club Assistant data or mobile numbers.
- Google Analytics provides website analytics.
- Twilio delivers text messages for the Club Assistant. It receives mobile numbers and message content only to deliver messages on our behalf.
- Our AI model provider processes Club Assistant questions to generate replies. Content sent for this purpose is not used to train anyone's models.
How long we keep it
Contact and assessment records are kept while there is a reasonable prospect of working together, and reviewed periodically after that. Newsletter records are kept until you unsubscribe, after which we keep a record of the opt-out itself so we do not email you again by mistake. Club Assistant records are kept for as long as your club's program runs, and are deleted or returned when the club's agreement with us ends. Analytics data expires on Google's standard retention schedule.
Your choices and your rights
- Stop the newsletter. Use the unsubscribe link at the bottom of any WaveLength email, or go to wavepoint.ai/unsubscribe.
- Stop the texts. Reply STOP to any message.
- Stop brief emails. Use the stop link in any shift brief email, or turn emails off in Settings in the app.
- See, correct, or delete your data. Email notify@wavepoint.ai and we will respond within 30 days. For Club Assistant data we may need to confirm the request with your club first, since they decide what the program retains.
Depending on where you live you may have additional rights, including the right to object to processing or to complain to a data protection authority. Ask us and we will tell you what applies to you.
Security
Data moves over encrypted connections, and access to our systems is limited to people who need it. No service can promise perfect security, so we keep only what we actually need and delete what we no longer use.
Children
This site and the Club Assistant are not directed to anyone under 16, and we do not knowingly collect their information. If you believe a child has given us information, email us and we will delete it.
Changes to this policy
When this policy changes materially we will increment the version number above and update the date. Significant changes affecting text message participants will be communicated before they take effect.
